How we handle the pages you send
This note explains what Build Vertex Core collects when you enquire about volume analysis training, request a workshop place, or send session prints for review. It sits alongside the cookie page.
Data controller

What we collect
From the enquiry form: name, email address, chosen sitting, preferred date, instrument you mark, and the message you write. From email or post: session scans, journal pages, and any accessibility or timing notes you choose to add. From the telephone: whatever you say in that call. We do not ask for account numbers, broker logins, or identity documents as a condition of training.
Why we use it
We use this information to reply to enquiries, to judge whether a sitting is suitable, to prepare chart reviews and mentoring notes, to send joining instructions, and to keep accounting records. The legal bases under UK GDPR are steps toward a contract (or taking those steps at your request) and legitimate interests in running a small training practice. Where we keep a record of cookie choice, the basis is our interest in honouring that choice; optional analytics, if you accept, is consent.
Session prints you send
Marked pages often show instruments and dates. Treat them as personal if they could identify your book. We store them only to prepare the sitting and for a short period afterwards so the follow-up call or weekly mentoring note still makes sense. We do not publish your prints in marketing without a separate written yes.
Retention
Unsuccessful enquiries are deleted after twelve months unless a conversation is clearly still open. Confirmed bookings and invoices are kept for six years after the sitting, which is the practical window we use for accounting and any later dispute. Chart packs and notes we send you are copies you may keep; our working copies of your scans are removed within ninety days after the last follow-up or mentoring letter, unless you ask us to hold them for a later block.
Who else sees it
Helen Ward and Marcus Bell. A bookkeeper or accountant may see names, fees, and dates, not your charts. Email and file storage providers who host our ordinary office tools may process data in the course of that hosting. We do not sell lists. Hired Framlingham rooms receive only first names and a headcount, not your journals.
International transfers
If a hosting provider stores a copy outside the United Kingdom, we will rely on an adequacy regulation where one exists, or on standard contractual clauses plus a practical check that the sitting can still be delivered lawfully. Video sittings use a provider named in the joining note; if that provider is outside the UK we will say so before you join.
Your rights
You may ask for a copy of the personal data we hold, correction of inaccuracies, deletion where the law allows, restriction or objection in the cases UK GDPR provides, and portability of data you supplied in a structured form. You may withdraw consent for optional analytics without affecting the training pages. You may complain to the Information Commissioner’s Office. We would rather hear first at info@buildvertexcore.digital.
Children
The sittings are aimed at adults who already watch a market session. We do not knowingly take bookings for anyone under 18.
